The mobile App or eQavach is designed as an extension of the ERP system. It is not only an event reporting App, but also gives access to the complete range of safety features available at the terminal from SOP, SWP, Risk Register, Resources, Training programs as well as a communicator.

HSE Risk Management software supports health, safety, environmental and quality management programs that help promote a culture of safety and quality, drive ongoing improvement efforts, and allow teams to track and report on overall operational performance.

The Qavach enables companies to respond quickly to safety incidents and minimize the harm to people and equipment. Tackling a potential safety event before they happen is a key component of operational risk management. The Qavach enables companies to quickly move from reactive to predictive safety management by capturing observations, near misses, safety behaviours and inspections, to spot trends and patterns, isolate problem areas, and tighten up safety processes - all in one place through their HSE risk management software applications.

The Qavach being an integrated application brings all business units on a single platform. There are few things the companies can do such as - regular training, monitoring of the compliance. The Qavach application on the other hand gives greater visibility to potential risks, safety breaches and guides the organization from reactive to proactive measures.

Technical

Qavach is developed using a SQL database with dotNET Core, and the front-end is Angular 16. Our Mobile App, the eQavach is developed on React Native while our Business Intelligence is developed on PowerBI.

The Qavach is hosted on our Oracle or AWS cloud and there are no additional charges to your account other than subscription charges and AMC.

The Qavach has a full range of available API's and any legacy system used by the terminal can be integrated, subject to an analysis of feasibility and a fee based on time and material.

The agreement has a process for change management. Any requirement may be submitted to the project manager who after a brief discussion will document your requirement and after a feasibility study will estimate the time required and cost. Upon approval of a signed work-order, these enhancements can be integrated to your software.

Qavach mobile App is available for Android and IOS users.

Only registered users of the Qavach with an assigned user access can download the Qavach from Apple Play Store or Google Apps Store.

Yes, the Qavach mobile App meets very high security standards. The users must log-in using their e-mail address phone number and a personal password. The application and data is fully encrypted.

Yes, the Qavach supports GPS and many of its features make use of GPS while reporting any incident and observation etc.

Yes, the Qavach App has offline functionalities for Observation and Incident features.

The Qavach supports all languages however the system will replicate the language the ERP system has been configured for. This can be any language that the Administrators have contracted and provided a dictionary for.

The frequency of updates varies based on new features, bug fixes, and security considerations. Updates are typically released regularly to enhance the App's performance and functionality.

The Qavach is designed to progressively feed to your ESG compliance and reporting. At this time, there are modules for Waste Management, Energy Consumption, Water Consumption, Recyclable tracking as well as other data.

Yes, the Qavach App enables the user to access the HSE document library as per permission assigned by the Administrator.

The App employs latest TLS to secure communication and data transmission. This ensures that your information is transmitted securely over the network, protecting it from unauthorized access.

Hosting

The Qavach is hosted on Oracle Cloud server and / or AWS depending on the region of service.

Yes, this is possible, but in this case the entire cost of the installation needs to be borne by the licensee and must be certified. There can be some additional charges for configuration of the software, installation, and upgrades.

Data is backed up twice a day by the cloud service provider and stored in the back-up repository.

Yes, we subscribe to a high up-time with our cloud providers and guaranteed data as per the last back-up which will not be longer than 12 hours.

Data is stored in readable code, and can be provided to you in an executable format of your choice at a small extra charge.

In the first instance, the cloud servers of Oracle and AWS are of the highest level but thereafter, Quantum has two levels of embedded security at the sign-in level with a 12 digit password and a system generated OTP.

The SLA's are as provided by Oracle and AWS and can be found on their website and are modified from time to time.

Delivery

The agreement has a process for change management. Any requirement may be submitted to the project manager who after a brief discussion will document your requirement and after a feasibility study will estimate the time required and cost. Upon approval of a signed work-order, these enhancements can be integrated to your software.

For a small (20 - 40 users) or medium (30 - 50 100 users) sized terminal, Quantum will be able to deliver the Qavach in 6 to 8 weeks starting from signing of a definitive agreement. However, for large (50 - 250 users) or enterprise engagements with multiple terminals, the timeline is likely to be longer depending on the scope of work involved.

There are extensive User manuals embedded in the product along with Video help guides. In addition, there is a training catalogue that is provided at the time of contracting that also has video training guides.

While the user manuals are multilingual, the training material is in English only though the documents can be easily converted to the language of your choice.

Quantum supports the practice of Cascade Training or Train the Trainer. In this concept, we train your expert and user for a period of approximately one day per module contracted. Quantum may be further engaged to conduct training to the Key and End users. This training can be done on-line or on premises.

Project Management

The Project Management process at Quantum is its core strength and is well documented over 5 stage plans from engagement to sign-off. The Licensee is provided all these documents as part of the engagement free of cost at the start of the project.

It is always recommended to have a strong project structure that has clear and unambiguous responsibility and accountability and as such, it is highly recommended that you have a Project Sponsor, a Project in-Charge and a PMO that replicates the structure at Quantum.

Yes, the project commences with a Project Execution Plan being shared and agreed, after which, a Project Kick-Off meeting is conducted with the core team on both sides where all key methods, protocols, communication structures and escalation / risk is discussed.

The project implementation team will guide you on the Super User training with an agenda a week before the training and walk you through each aspect of it so that there is no ambiguity.

Each release is preceded by a Notice of Readiness and Release Notes of the software and the features that are going to be released. The software is generally placed in a Sandbox or Staging server which is tested by Quantum and signed off. Only when this is done can training or user acceptance testing be conducted.

UAT is conducted after the Super User Training is done and typically lasts from 1 to 5 days. In this, multiple test cases are executed to ensure that the software is performing as per expectation. While Quantum provides test cases to the Licensee a week before the UAT, the licensee is free to add to them and is responsible for the execution of the UAT.

Your data can be entered by your users in to the Qavach or we can provide you with scripts to automate this process. Things like your Active Directory for users is simply integrated through API's.

Once the software is delivered and all users are trained, the Licensee executes the Pilot which essentially is a parallel operation for a recommended period of one week to ensure that all core processes and procedures are being delivered as per expectation. At the end of the Pilot, the project team needs to complete a Pilot report for the Sponsor which if successful, signifies that the software is ready to go live.

Yes, these are some important steps.
  • All test and pilot data must be flushed from the system.
  • The Go-Live checklist needs to be completed and signed off.
  • The software needs to be hosted on the production server and surface tested.
  • All parties involved must get a clear notification of the go-live and the actions they are required to conduct.

Once the software is live, the support process is active and Quantum supports the Licensee closely through this. Once the software is stable, typically 30 days, there is a proposed sponsors / signatories meeting (virtual or physical) where the project is signed off and next steps are discussed.

You bet. Quantum is obsessive about doing it right, and this is best done in writing.

Pricing

Quantum licences the Qavach on a Unique Named User basis for the ERP system, and the total units licensed for the App and the Analytics software.

The Qavach is a Subscription based software license only.

The Qavach is licensed for a minimum of 1 year license period after which it can be renewed on annual basis.

There is a Annual Maintenance Charge (AMC) that applies to the Maintenance and Technical Support Agreement (MTSA) and is charged at a percentage of the full and final software value. It is paid annually at the time the software is delivered and the Software Acceptance Certificate is signed.

The cost of the server, database, peripherals and data back-up amongst other hosting charges is included in your Subscription license charge.

This is at the Licensee’s option. Monthly charges incur bank charges, whereas if you choose to pay on an annual basis, Quantum would provide you with a discount.

The Qavach has role based licenses which allow you to choose between the following and thereby provide you with a lower possible TCO:
  • HSE Full Access - Users under this bracket will have access to all HSE features of the application.
  • Contributor Access - Assigned to Operations or other departments and management where the need is largely event recording, inspections or view of information only.
  • Mobile Access - These are the users who have the eQavach App on a smart phone and can receive alerts, notifications and announcements as well as make observations or record critical incidences as they happen.

The minimum number of licenses to contract the Qavach is 20. There are license tiers available over 50, 100, 250 and 500 which provide levels of discount when you exceed each. There is a minimum of 100 licenses that must be contracted for the eQavach, and discounts apply above 250, 500, and 1000 users.

Support

Quantum has an offshore development center where all our products are managed and supported.

Support is provided on a 24 x 7 basis on all 365 days.

The Service Level Agreement (SLA) that is included in the MTSA has Turn Around Times (TAT) depending on the severity of the reported error. The highest level of Severity 1 (S1) means that the process or software is inoperable with no work-around while S2 has a workaround and S3 does not have any process impact.

Quantum has an open channel to receive your request for upgrading the TAT and providing a HOT CALL facility where we take this particular support call up to the front of the queue in exceptional cases.

Quantum has a proprietary product called the Q-GSM or Global Support Manager, which is embedded with the Qavach, and allows your users to submit technical requests to your Super User, and from your super user to Quantum. There is complete transparency that the super user has of the progress of the call, its delivery, and closure. The Super User can also run reports and see a dashboard of open calls and history.

The primary channel for communication with Support @ Quantum is through the Q-GSM, which has an in-built chat tool. We do not encourage separate e-mails and phone calls unless it is a critical matter, and do not support WhatsApp or other social media tools.

The MTSA does not support any of the following:
  • Non software (Qavach) related calls.
  • Calls that are related to your infrastructure, client machines, networks etc.
  • Non-technical calls that seek user guidance and training or "How do I do this" queries.

The MTSA is renewed at the same time as the Licensing Agreement if the contract is for 12 months, and in the event it is for 24 or 36 months, then the MTSA must be renewed no less that 30 days before its expiry.

Quantum provides technical upgrades of the software components in use, free of cost. Quantum will also provide a quarterly release with minor functional upgrades to the contracted modules. For large upgrades and additional features, there may be a one-time or additional monthly charge applicable.

eQavach

The App expends incident reporting all the way across all terminal users. It brings all parties in to the safety culture from keeping them updated of risks and unfolding situations, as well as providing them with an on-line repository of Risk, SOP, SWP, Permits and many many more features.

Yes, the App is Real-Time and Always-On. It seamlessly posts to the ERP and gets feedback through alerts and notification and has a constant Workflow that allows the observer to see what is the status of the event he/she has reported.

All features in the App such as Observation, Incident, Testimony, Inspection and Action have a "save as draft" feature and can also be updated when in an off-line mode when the user does not have internet. Other features that are reference points can also be made available in an off-line mode as there is no active transaction needed, but that uses the devices data.

Yes. You can take a photo or video through the App or attach an existing one from your gallery to provide clarity to the incident circumstances.

The App is available on both IOS and Android.

Yes, the App is available on Google Play and Apple App Store, and can be downloaded freely by any user, however it can only be activated and operated by the credentials and configuration as done in the ERP for registered users.

There is a separate license fee per user per month for the App as is explained in the Pricing section of the FAQ and the website.

Quantum provides frequent updates and upgrades with constant new releases and small patches as the need arises.

The App has a very detailed help section that can be accessed on line and also has a video tutorial.

The App employs advanced security measures, including encryption and secure authentication protocols, to ensure data integrity and prevent unauthorized access to user accounts. Our commitment to user privacy and security is a top priority.
